Job Summary:
The Business Analyst has delegated responsibility for one or more major systems. Combining expert functional and technical knowledge, important duties include system monitoring, testing, maintenance, coaching, security and version control, in addition to implementing business process changes and systems enhancements.
Duties & Responsibilities:
System Enhancements and Development (45%)
Combine expert functional knowledge with technical expertise to design and support the system(s)
Support related users and provide information to inform managerial decision-making
Support the University through various projects and tasks and advises on the implications of various scenarios
Recommend work process changes, where efficiency or increased functionality can be achieved
Document university business processes and updates the library of business process documents using standard process mapping tools and methodologies
Coordinate new work processes with supervisors and managers of relevant units, to ensure new enhancements are incorporated
Ensure the system keeps pace with version upgrades to take advantage of the latest system fixes and enhancements
Research and analyze new enhancements (releases, versions and applications)
Coordinate and supervise the testing of system enhancements
Roll-out straight-forward enhancements, working closely with data base analysts and other specialists, as required
Add and customize enhancements to meet the Universitys operating needs
Coordinate the resolution of technical problems associated with enhancements
Liaise with external vendor support and consultants for enhancements and problem-solving
Where required, develop models to incorporate forecasting and other planning tools
System Maintenance (30%)
Monitor system usage to maximize system performance
Ensure effective internal controls are in place, and efficient use of systems and human resources
Coordinate interfaces with other systems, and ensure data imports are accurate and complete
Use query tools (e.g., SQL) to extract and customize data views from relational database systems, and build dimension cubes
Design and write customized reports and forms using a variety of software tools
Investigate and correct straight-forward system failures
Troubleshoot problems that interfere with departmental operations. If necessary, recommend necessary business process and systems changes to management.
Test and prepare the system for data archiving
Where required, run various year end functions and prepare systems reconciliations for internal and external users. Some year end closure functions require extensive testing to ensure data integrity.
Analyse requirements and prepare submission files for external reporting
Work closely with internal programmers, systems analysts, project personnel and end users
Back up other business analysts when on vacation and other leaves
System Security (15%)
Primary custodian and administrator of information in the respective system
Manage the application security functions for the system
Ensure systems compliance with external regulations and University policies, including security and privacy policies, working closely with the Universitys systems security specialists
Set up and maintain user accessibility profiles for administrative applications
Ensure appropriate internal controls are activated in the system and rigorously followed
Analyze log files for error reporting, investigate errors and make corrections
Execute regular system audit checks to ensure data integrity
System Coaching (10%)
Provide specialized systems orientations and related coaching for University staff
Write on-line training and help tools
Communication:
Works with all levels of the client community, providing appropriate systems access, coaching, advice and trouble-shooting
Communicates systems issues to non-technical staff and conversely explains business issues to technical developers and system administrators
Regular contact with systems vendor and consultants
Supervision:
Oversee the testing and implementation of system enhancements
Coordinate new work processes to correspond to new enhancements
Oversee the successful retrieval of data
