Position Summary

This position is primarily responsible for project administration, and working with the IT Trainer to provide instructional documentation and training materials regarding client's information technologies.

Duties and Responsibilities

PMO Administration 60%

Responsible for integrating, implementing and maintaining project management systems and documents.
Traces existing documentation and determines whether it complies with University standards.
Coordinates on hiring and placement of temporary project staff with Human Resources.
Interviews key stakeholders such as Project Managers regarding expertise needed, time allocations, budget tracking, and critical path charting for ITS Projects.
Uses a variety of project management-related software including but not limited to Excel, Microsoft Project, Daptiv PPM, PowerPoint, and Word for reporting purposes.
Reports on high-level project
Hosts Webinar conferences over systems such as Elluminate.

Trainer Support 20%

Writes self-instructional materials for electronic access to client development and learning systems, from draft to final copy (in electronically delivered courses, these materials are the only print materials tutors and other staff will receive)
Continually revises and updates training materials and documentation as systems evolve and software is introduced or upgraded.
May be required to assist IT Trainer as required.


Change Management Support 20%

Control the repository of IT Application and Services records
Work with IT Department Mgrs / Project Mgrs to record changes in their IT Systems Update/revise the repository

Classification Factors

Communication

Communications may include any and all levels of staff, from support to executive.
Requires excellent interpersonal communication and writing skills in order to gather required data.
Must be comfortable initiating contact with project managers and department heads.
Interprets information gathered from project managers in order to communicate effectively through reports.
Liaises with the Chief Information Officer in identifying areas of training need.

Supervision

Will be required on occasion to fill in for senior project support.

Impact of Service or Product

Significant impact: transfer of technology knowledge and skills is critical to the orientation and success of staff working in the networked environment.
Knowledge and communication of Project Management process and requirements are critical to the success of IT Project Management.
Poorly trained staff reduce the University’s efficiencies in service and risk its internal systems and public image.

Independence of Action

Must plan and implement process compliance without supervision.
Works under the general direction of the PMO Manager.
Is required to respond creatively and independently to unusual situations.
Work includes guidelines or procedures that may occasionally be vague.
Training documentation subject to review by IT Trainer.

Complexity

Develops a general knowledge of all client information technologies, systems, software. policies and procedures.
Work problems are non-routine and solutions are not always quickly evident; creativity may be required to find best solutions.
Deals with a variety of applications, workplaces, individual learning styles,
Must respond appropriately to varying and sometimes competing priorities among departments, staff, and managers.
Duties may be diverse, involving a variety of analyses, processes, and methods.
Work includes guidelines or procedures that may occasionally be vague.
Deadlines are set and enforced for program and course development and delivery.

Planning

May be required to utilize several different systems and methods concurrently.
Must analyze and respond appropriately and effectively to user training needs.
Must plan the presentation of complex information in ways that engage and stimulate learners, and promote its retention.
Must evaluate learning and plan improvements where necessary.

Qualifications

Education and Experience:

Must have a minimum of 3 years post-secondary, or applicable work experience.
