Position Overview:
This is a multi-faceted administrative position drawing on diverse skills to efficiently and effectively oversee the operations of a real estate business office. The administrator will ensure that appropriate bookkeeping and accounting systems are accurately maintained, while likewise providing on-going agent support services which work in synergy with the business centre so that all initiatives are working toward common goals and expectations.
This position will appeal to a professional individual, who likes responsibility and works well independently, can establish a required agenda and manage themselves and others in a fast paced environment.
Responsibilities
• Overall maintenance of daily operations/workflow and implementation of new policies
• Establish strong relationships with agents; ensuring their satisfaction with the level of service they are receiving
• Handle all aspect of the deal transaction; review contract ensuring completeness and accuracy, issuing commission cheques to Realtors, closing file
• Input transaction in accounting system, follow up on conditions & lawyer information, depositing cheques to appropriate Trust accounts, and preparing trade records
• Doing payroll and issuing cheques bi-monthly as well as monthly payroll deductions
• Calculate and file GST quarterly
• Overseeing agent expense accounts and collecting all receivables
• Responsible for all accounts payable , issuing cheques and posting entries
• Assisting with agent orientations and transitioning of new agents; ensuring paperwork is completed, agents informed of phone, voicemail, copier operation, & general office procedures
• Prepare monthly financial reports and conduct account reconciliations
• Prepare and transmit electronically to International Head Office, monthly
• Prepare monthly statistical reports
• Directly manage 4-6 people working in administrative capacities; including hiring and training of personnel
• Negotiating and mediating client/customer issues


Requirements
• Excellent organizational & time management skills, important to be task oriented and be able to multi-task
• Bookkeeping and/or accounting skills a must
• Knowledge of real estate business is a definite asset
• Minimum 2-3 years of relevant experience
• Good computer skills ; proficient with word, publisher, excel, power point , email, internet, and software installations
• Excellent organizational & time management skills, important to be task oriented and be able to multi-task
• Excellent communication skills, both verbal and written

Salary for this role depending on experience is between $38-40k per annum with opportunity for participating in a bonus system after first anniversary.
