This 108 year old, non-profit organization has an annual operating budget of $54 million dollars and generates revenue through three activity streams: the 15 day annual summer Fair which averages 750,000 guests each year, Playland amusement park which welcomes 375,000 guests annually including Fright Nights, year-round events including concerts, trade shows and film, cultural and community events.     We are seeking a highly motivated and enthusiastic individual that has a passion for the events industry and the Pacific National Exhibition (PNE). The Executive Assistant, Operations (EA) will work under the direction of the Vice President (VP) of Operations and provide direct administrative and operational support to the Vice President of Operations. The EA will assist with office management of the Operations department and will also work closely with various members of the PNE Management team; and external stakeholders.

    What will you do this year?

    •Provide confidential administrative support to the VP and the Operations department including maintenance of confidential records and filing systems.
    •Support the Senior Operations Team by overseeing the flow of information and processes between departments.
    •Provide operational support during events as required
    •Assist in the coordination of departmental meetings and events including room bookings, preparing agendas, and meeting minute taking and distribution.
    •Make appointments, keep calendars up to date and coordinate department presentations; schedule events requiring attendance of the Vice President, Operations.
    •Assist with budget reporting for the Operations department and controls the distribution and accounting for complimentary event tickets allotted to the Operations department.
    •Assist with interpreting, implementing and maintaining policies, rules and guidelines pertaining to the Operations Department.
    •Develop and maintain relationships with external stakeholders as directed.
    •Undertake a variety of research projects as directed by the Operations management team.
    •Undertake a variety of duties during the annual Fair at the PNE including coordinating assigned events, projects and continued administrative support to the VP.
    •Perform other related duties as required.

    What else?

    •Must have 2 years of previous administrative experience and excellent knowledge of computer applications
    •Previous experience in an Executive Assistant role is preferred
    •Previous experience in the events, hospitality or tourism industry is considered an asset
    •Must be willing to work a varied schedule that will at times include evenings and weekends
    •Diploma, Certificate or degree in business administration, hospitality, event management or a related discipline is considered an asset
    •Ability to foster effective working relationships with peers, subordinates, and external contacts
    •Ability to function independently and under pressure, and manage a variety of diverse projects at the same time
    •Must be comfortable operating in a fast-paced work environment
    •Successful candidates must undergo a Criminal Record Check
